Here are some answers to Frequently Answered Questions (FAQs) about the hall, booking process and using the hall. Just click on the arrow to show the answer to each question.
What size is the hall?
The main hall is a rectangle approximately 15m by 9m and 2.6m high. In addition, there is a recess (approx 2.5m deep) in front of the kitchen hatch and hall entrance.
There is a lobby inside the main entrance, leading to the hall and also a corridor giving access to the kitchen, toilets, rear room and a maintenance cupboard.
There is a concrete patio area (4m wide by 9m long) and an adjoining strip of grass at the back of the hall, accessed by the two sets of patio doors.
How many people does it hold?
Our maximum capacity is 110 people.
Can I visit the hall before I make a booking?
Yes of course, please contact the Bookings Officer to arrange this. However, we do recommend making a provisional booking first to reserve your chosen date, and mention in the “Special Requirements” field that you need to visit the hall before confirming. Then we will know not to progress the booking until after your visit.
Does the hall have a TV, sound system or a projector?
Sorry but we do not have any of these. There are plenty of 13Amp sockets available for you to use your own systems in the hall.
Do I need Public Liability Insurance?
If you are hiring as a private individual or a non-commercial group, then the hall already has Public Liability Insurance that will cover you. There are some restrictions, please see section 5 of our Terms and Conditions for details.
Hires for business activities by commercial organisations and also those hiring for any political or lobbying groups or meetings are not covered by the hall’s policy and alternative insurance must be arranged.
Why are only fixed slots available online?
We use these to simplify online booking, so that separate daytime use and evening use bookings will not clash. If you are looking for different times/durations, please see the answer to the next question.
What should I do if the fixed time slots don’t match the time that I want?
Please make a provisional booking using the closest match from our fixed slots. In the “Special Requirements” field add details of the actual times that you want. If this is not possible, then contact our Bookings Officer using this form
Why does my email address have to be verified?
Any new user making a booking will be sent a link via email to verify their email address. Just click the “Verify Your Email” button in the automated email to do this.
The verification process means that we and Hallmaster can be sure that it is you requesting the booking, and not someone else using your email address. Verification is a one-time process as once verified, you only need to re-verify in the rare case that you change your email address.
Verification also means that you will be sent all emails sent out by the Hallmaster system.
I’ve used Hallmaster before for other venues, do I still need to register with you?
Yes, on the initial screen asking for your details, please complete this rather than logging in on the right hand side. You can still use the same email address that you used for other venues managed through Hallmaster.
What happens after I submit my booking request?
Your request is emailed to our Bookings Officer and the booking will show up as “provisional” on the calendar (so no-one else can book that time). They will then review your booking, adjust times and/or fees if necessary, and may email you back to clarify the details of your booking. Usually, you will then get an email to confirm that your booking request has been created on the system.
After that, our Bookings Officer will email you an invoice for the holding deposit. Paying that deposit will confirm your booking. This can be paid either by bank transfer or by credit/debit card using the link in the email that sent the invoice.
We issue your final invoice, covering all remaining fees plus the Cleaning Deposit, approximately 1 month before your event.
For businesses, we can issue one invoice for the full amount – we’ve found this makes life easier for both parties. Please include a PO number if possible on your booking.
How much is your holding deposit?
The initial deposit to confirm your booking is 50% of the hire fee. It does not include any bar staff fees (if required).
We issue your final invoice, covering all remaining fees plus the Cleaning Deposit, approximately 1 month before your event.
How long do I have to pay your invoices?
We expect that all our invoices be paid within 10 calendar days of the date they are issued. For commercial customers, we reserve the right to charge statutory interest and the associated compensation fee on overdue payments.
If the initial deposit is more than 30 days overdue, we reserve the right to cancel your booking as we assume you no longer want your booking.
I’ve emailed you but not had a reply – what should I do?
Please allow us a few days to respond to emails. Please also check your inbox and spam folders in case you have received a “delivery failure” report. This can happen when you just press “reply” to a message sent out by the Hallmaster system as these use an email address that is not monitored.
Emails sent from Hallmaster always include a warning message with a suitable email address for replies at the top of the email. Please re-send your email to the correct email address.
When is my Cleaning Deposit refunded?
Providing everything is in order, we aim to process all deposit refunds within 10 working days of your event, and will email you a receipt for this. If refunding to a card, it can take a further 2 to 7 working days before being credited to your card.
Does the hall have any tables we can use?
Yes – we have 17 large rectangular tables (6ft by 2.5 ft) and 8 small rectangular tables (4ft x 2.5ft). Tables are stored in a cupboard at the back of the hall. Use of these is included in your booking. Please note you will need to supply your own table covers if required.
Does the hall have any chairs we can use?
We have 110 chairs available. These are metal chairs with padded seats and backs. Use of these is included in your booking. Some chairs may be stored in the rear room (behind the kitchen).
Can we use the kitchen (including cutlery and crockery)?
Yes, use of the kitchen is automatically included in your hire fee. If required, you will need to bring your own tea towels and oven mitts as we do not supply these. Equipment in our kitchen is listed on this page
Can we decorate the hall?
You are welcome to bring your own decorations. However, nothing can be attached to the walls or ceilings (even with Blu-tack). There is a picture rail around the hall, from which decorations can be hung. There are also some hooks in the ceiling for lightweight decorations.
Can we use confetti at our wedding reception?
You are welcome to use paper confetti – but only inside the hall, and not outside. We prefer that you don’t use table confetti as this is very difficult to sweep up afterwards.
Can I have a bouncy castle for my children’s party?
You may have a bouncy castle (or equivalent) but you are responsible for ensuring that it is properly insured and operated correctly. Our hall’s own insurance policy does not cover use of these.
Can we use the playing field at the back of the hall?
There is a patio area (4m wide by 9m long) and an adjoining strip of grass at the back of the hall that forms part of the hall and can be used by hirers without needing to refer back to the Parish Council.
The playing fields are owned and managed by Woburn Parish Council, so we have no control over who will be using it during your booking. Please contact the Parish Council if you need to use this field during your hire of the hall.
How do I collect the hall keys?
We will send you an email the day before your booking explaining where and how to collect the keys. This email also explains what to do with them after your event has finished and you have locked up the hall.
Does the hall have wifi?
Yes – the access details will be sent to you by email the day before your event
Does the hall have a landline?
No we don’t. Hirers should bring their own (fully charged) mobile phone to use in the unlikely event of an emergency.
Who do I contact on the day if there is a problem with the hall?
There is a list of contact names and phone numbers next to the hall front door. One of these Committee members can assist with your issue.
What do we do if there is a fire?
This is very unlikely. However if it does happen, the priority is to evacuate the building quickly and safely via the Fire Exits and call the Fire Service via 999 (the hall fire alarm does NOT automatically notify the Fire Service).
Everyone should assemble in the adjacent children’s playground and not return to the hall until cleared to do so by the Fire Service.
Fire extinguishers are available if you are trained to use them and it is safe to do so.
When can the bar be open?
Our licence permits us to open the bar from 12 noon to 11pm (10.30pm on Sunday). For evening events, we assume bar hours are 7pm to 11pm (Sundays: 6.30pm to 10.30pm) unless otherwise agreed beforehand in writing.
What drinks does the bar stock?
Our bar is stocked with standard spirits and beers/lagers (cans and bottles – no draught beer) plus a range of soft drinks and we will always endeavour to accommodate specific requests. We also stock low or no alcohol beers, gin and rum.
Does the bar take cards?
Yes – you can use either cards or cash to pay for your drinks at the bar.
Can we bring our own alcohol?
If you have asked for the bar, then this is strictly prohibited as part of our licence conditions. Only drinks from the bar can be consumed on the premises. We can only make a special exception for a wine/champagne toast at wedding receptions.
If you do not use the bar, then we charge a corkage fee of £200 if you want to bring your own alcoholic drinks. These cannot be sold to your guests but must be provided to them free of charge.
How much time do I have to clear up afterwards?
We allow a (free) Buffer Period of 1 hour at the end of your booking for you to clear up, and remove all rubbish from the hall
What do I do with my rubbish after my event?
The hall has no facilities to dispose of your rubbish. Bring along enough bin liners to hold all your rubbish and take them away with you afterwards. Don’t forget to clear any fridges or freezers if you use them. If you leave rubbish at the hall, then you may lose all or part of your Cleaning Deposit
